1. General Terms and Conditions
  • Should your venue/Event be more than 100km from Durban, we would require accommodation for both DJ & the Assistant. Accommodation provided is to be of 3 star or equivalent at the venue of which your event is being held. Should no accommodation be available at the venue, we require accommodation within 5km or closer of your Venue. Should you wish for the DJ/Event Crew to book his/her own accommodation, a quote will be requested and a fee disclosed to you. This will be added to your final invoice separately.
  • I am available for in-person meetings with the couples/clients during our office hours which are 09h00 - 16h00, Monday to Thursday. No meetings will be conducted on Fridays, Saturdays, Sundays or Public Holidays.
  • Video Meetings are available on request. These are available Monday to Thursday, 08h00 – 17h00.
  • KZN Wedding DJ reserves the right to limit after midnight hours to 02h00. Please chat to us if you have any concerns.
  • To ensure accuracy of information and services provided, all communication is to be conducted via email only. WhatsApp or other social media platforms will not be entered into.
  • The Client agrees to provide complete and accurate information regarding all event details, service requirements, venue logistics, and any special requests at least 14 days prior to the event date. KZN Wedding DJ shall not be held liable for any lack of services rendered resulting from incomplete, inaccurate, or withheld information provided by the Client.
  • Any additional services requested on the day/or not disclosed and are required the day of the event that were not previously agreed upon in writing or paid for in advance are subject to availability and may incur additional charges. The Client acknowledges that they may be held liable for any such fees, which are payable immediately upon demand.
  • KZN Wedding DJ, his employees or any person employed at an event will not accept responsibility and will not be held liable for any loss, damage, or injury to persons or any property of the client or associated with the client due to negligence or any other cause whatsoever. While every precaution will be taken to ensure the safeguarding of your belongings, KZN Wedding DJ will not be liable for loss, theft or damage to any property whatsoever (décor, gifts, valuables, etc).
  • To ensure clear and effective communication, all correspondence, instructions, and decisions regarding the booking must come directly from the individual who made the original booking (“the Client”). We will only take direction from this designated primary contact unless otherwise agreed in writing. If you are working with a Wedding or Event Planner, please notify us in advance so that appropriate arrangements and permissions can be established. This policy is in place to avoid miscommunication and ensure a seamless event experience.
  • Site meetings / Rehearsals are available at a rate of R1250.00 per Hour Excluding Travel. Our Travel fees apply and will be quoted for separately. DJ services for Rehearsal Dinners the night before your event are available. Pricing would be in accordance to the package you have booked.
  • We are SAMRO & SAMPRA Registered. Our licences are available on request of the applicable agent.
2. Payment & Terms
  • A non-refundable booking retainer fee as described in your Packages document is required in order to confirm your event. No Event is considered confirmed until this clears in our account.
  • A non-refundable Booking Fee is also required for any additional Extras chosen. This will be added to your DJ Booking Fee.
  • All invoices must be paid in full before any event or service is rendered.
  • Balance payments are to be paid 7 working days prior to your Wedding or Event Date.
  • International Payments will incur a mandatory fee of R300.00 (ZAR) per transaction.
  • Should cash be your preferred method of payment, please ensure this is given to the DJ prior to the event.
  • All bookings must be paid in Full prior to the event. A booking deposit as indicated on your quote applies to all bookings.
  • All bookings, unless stipulated are based on consecutive hours before Midnight. The DJ reserves the right to charge After-midnight hours at the discretion of the DJ. We reserve the right to decline any after midnight hours. These hours will be charged at a minimum rate of R2500.00 per hour or part thereof which is to be paid in cash prior to rendering any additional hours. Extension of any hours must be given to the DJ at least 1 hour prior to the extension.
  • A booking fee is required to secure your date. Should you, the client, decide to change venues, a new quotation would be required to sign and confirm the venue change. We reserve the right to change our package options and further reserve the right to charge additional fees pertaining to your change of venue. Please discuss this with the DJ.
  • In the event that the DJ has to setup his equipment ahead of the scheduled setup time due to venue regulations or any other reason, we hereby reserve the right to charge the “Hourly before midnight” rate for the specified amount of hours prior to the start of your Wedding/Event. These are known as “Idle Hours”.
  • KZN Wedding DJ reserves the right to cancel your booking if any outstanding amounts are not paid in full prior to your booked date. Your Booking Fee will be forfeited.
  • The client is required to sign our packages document and terms & conditions document and return these to us before their booking is considered confirmed. Should this form not be signed physically, or via our CRM Digital Signature, but payment is made to us, it is deemed that the client is in agreement with these terms and conditions as here set, and an agreement is binding as if the client had physically signed the acceptance form.
3. Travel
  • We reserve the right to charge R6.50 per km return from our Offices. The Fee is calculated for a return trip to and from your venue. Two Nights Accommodation is required for Venues that are more than 2 hour travelling time to the chosen venue. Should the Diesel price increase at a rate of R2.00 per litre more than the current price at the time of signing this document, we reserve the right to add a surcharge to the final invoice.
4. Cancellations after a booking has been confirmed
  • If your Event is postponed or cancelled, your booking fee is non-refundable/Non-Transferable.
  • Dates & venues are not transferable - a new Quotation & Booking retainer would be required in order to secure our services for a new venue or date.
  • A 50% cancellation fee will be charged per extra items as agreed to in your booking form. This includes, but not limited to, Intelligent Lighting, Cold Sparks, Uplighting, MC, Photobooth, SPIN360 or any future Extra Addons offered by KZN WEDDING DJ.
  • Should you choose for KZN WEDDING DJ to book accommodation and you proceed with the cancellation, this fee is non-refundable as all accommodation is booked and secured at the time of paying your Booking retainer.
  • In the event of a national disaster preventing your function to go ahead (Covid 19 lockdown for example), I will endeavour to postpone your function to a date I am available on. If we cannot agree on a future date, we are all available on, the Booking fee (retainer) will be considered a cancellation fee and will not be refundable. With these things becoming completely unpredictable, all I ask is that we work together to find a suitable date for all suppliers in the event of a forced postponement. If the event is cancelled completely, the booking Fee (retainer) will be considered cancellation fee and will not be refundable. The balance (Amount quoted less retainer) is payable during the week leading up to your wedding.
  • Should you cancel/postpone your event, and you have requested the DJ to book his own accommodation, the fee charged for accommodation will be added to your cancellation fee.
  • All cancellations must be sent to us in writing to info@kznweddingdj.co.za.
  • A Cancellation Fee will be charged as per the below clause.
    • If your event is cancelled more than 30 days prior to your booked date, a 50% cancellation Fee of the total invoice amount will be charged. Your non-refundable Booking Fee (retainer) will be credited towards this amount and any shortfall remains payable.
    • If your event is cancelled between 15 and 30 days prior to your booked date, a 75% cancellation Fee of the total invoice amount will be charged. Your non-refundable Booking Fee (retainer) will be credited towards this amount and any shortfall remains payable.
    • If your event is cancelled 14 days or fewer prior to your booked date, a 100% cancellation Fee of the total invoice amount will be charged and no refunds will be entertained.
5. Sound equipment, lighting & music
  • Should a member attending the event or anyone, directly or indirectly, associated with the event, damage with or without intent, the DJ’s equipment, the client will be liable for the cost of these repairs or replacement within 7 calendar days of the incident event date.
  • An Umbrella, Gazebo or tent is to be provided for covering and the protection of overheating of the Sound equipment as well as protection against possible rainfall.
  • Should you require additional sound equipment (eg: Additional Microphones), this will be charged for separately and is not included in any of our packages.
  • Wedding Packages include a Complimentary PA System Speaker for Canapes / Pre-Drinks. This also includes a playlist of music of your choice. Should you decline this service, no remuneration nor refund will be entered into.
  • The Complimentary PA System for Canapes / Pre-Drinks is included in our Wedding Packages does not include a Wireless Microphone. Should you require this for your Canapes / Pre-Drinks, this will be charged for separately.
  • Should you book an entertainer for your Canapes / Pre-Drinks, the entertainer is fully responsible to ensure they provide their own equipment.
  • Guests attending the event are not entitled to utilize any sound equipment including, but not limited to the use of Microphones, AUX Cables and any equipment owned by KZN Wedding DJ.
  • In the Event that your entertainer does not / unable to provide their own Sound equipment, this will be quoted for separately according to their tech-rider.
  • Should your entertainer cancel or be unable to provide any services for Canapes / Pre-Drinks, We reserve the right to charge a minimum fee of R1250.00 for Sound equipment for Canapes / Pre-Drinks. This PA System would include a Wireless Microphone and a device with a Spotify Playlist otherwise our standard complimentary Canapes PA System will be provided at no cost to you.
  • The Client agrees that the DJ will have creative control over the music and programming based on the guidelines provided. The DJ will make reasonable efforts to include the client’s requested music in the programming, considering the genre, appropriateness for the event, and availability of the requested songs. The Client understands and acknowledges that while the DJ strives to fulfill all music requests, it cannot guarantee the availability of specific selections or guarantee that all requested songs will be played. The Client acknowledges that this provision does not entitle them to any compensation or refunds due to unavailability or non-played selections.
  • In the event that your Seated guest area (Wedding Reception, Main Event Hall) and dancing location are in separate rooms / areas, Additional PA Equipment will be charged for. You are required to disclose this information to us upon booking. Should this not be disclosed to us upon booking, we reserve the right to charge any additional fees required to secure sound equipment from a 3rd Party provider.
  • Should any equipment be damaged or stolen at the venue, by the guests but not limited to, Venue staff, and/or any other persons on the property at your venue, the client may not claim non-rendering of services, and will be held liable for the repair or replacement of such equipment.
  • We allow Videographers to plug their recording devices into our desk however it is the responsibility of the Videographer to provide and have on hand, their own cables required for this.
  • Should the Videographers recording devices interfere with our sound equipment in any way, we reserve the right to disconnect this from our Desk and inform the videographer immediately.
  • Should an entertainer / Service provider hired by the client, require the use of our equipment, it is the responsibility of the client to ensure that should there be any damage directly or indirectly caused by the service providers instrument/s, the client will be held liable for costs of repair or replacement. This to be settled with us no later than 7 calendar days from the date of your event.
  • A dedicated power source for the DJ is required. We regret that we cannot share any power source with any providers due to the nature our the electronic equipment.
  • We reserve the right to cease all sound operation if the power supply outlets at your venue do not meet our minimum requirements. This is to safe-guard you, the client for any further damages to our sound equipment. We require a minimum of 215v in order for any Digital Sound equipment to operate, without this voltage, we are unable to operate any equipment.
  • Should your Wedding Reception and Dancefloor be in two separate areas, A fee according to the scope of work required will be charged for an additional PA System / Sound Equipment. This fee is non-negotiable and will automatically be added to your balance invoice.
  • Music requests are not recommended. Our Bridal couples and clients have the opportunity in creating a Spotify playlist with approx. 30 of their Favourite songs, giving the DJ scope of their music preferences. I hereby reserve the right to decline any music requests from guests that do not fit in with the requests of the client/ bridal couple.
  • Uplighting is not included in any of our Packages and is considered an “Addon” and will be charged for additionally. Refer to the packages document for pricing.
  • Intelligent Moving Heads are not included in any of our Packages and is considered an “Addon” and will be charged for additionally.
  • “Dancefloor Lighting” refers to a standard Lightbar with 2 Parcans and 2 Effects lights. This is included in your package along with a Hazer (fine smoke effect). Additional Intelligent Uplighting is available at a set fee.
6. Liability
  • While we understand the appeal of outdoor events, we do advise against setting up sound equipment in open-air environments due to the unpredictability of weather, especially rain. If the client chooses to proceed with an outdoor setup after being advised otherwise, they do so at their own risk.
  • In the event of rain, or damaging conditions, We reserve the right to cease all services to safeguard our equipment/staff etc.
  • Should any equipment be damaged due to weather conditions—including but not limited to rain, wind, or moisture—the client will be held fully liable for the full cost of repair or replacement of all affected equipment. No claims for non-rendering or interruption of services will be accepted under such circumstances.
7. Beach / forest / outdoor weddings
  • We charge an additional Fee for forest Weddings without a power supply. A Battery-operated PA System is required for Ceremony venues without power. A described Fee will be added to your final invoice for Forest Weddings.
  • We charge an additional fee of R2,250.00 which is applicable for any sound equipment used during beach ceremonies. This fee covers additional maintenance and cleaning required due to the corrosive effects of salt air and sand exposure on electronic equipment. The client acknowledges and accepts this charge as part of the total service cost when booking a beach ceremony setup.
  • Outdoor Events will be custom-quoted for according to your requirements. The Client is liable for all sound equipment and is to ensure that the DJ is placed in a-rain-proof position to ensure no equipment is damaged.
  • Should your Ceremony be conducted in an area where there is no power and a battery-operated PA System is required a fee of R1250.00 will be added to your final invoice.
  • Outdoor Weddings/Marquee Weddings will be charged an additional fee of R2500.00
  • If the DJ is placed outdoors, the DJ and all sound equipment is to be fully covered. We reserve the right, without compensation / refunds to cease all services to safeguard all equipment onsite.
  • In the event of, but not limited to, rain, mist, sand, strong damaging winds be experienced, and no suitable location is agreed upon, the DJ reserves the right to cease all services immediately without negotiation.
  • The Above pricing covers up to 120 guests. Thereafter additional Battery-powered equipment would be required at a fee of R950.00 per additional Speaker per 100 Guests.
8. For the day
  • We require a solid, Standard, sturdy 2m trestle table with tablecloth prepared and setup beforehand for the equipment, so that the entertainer may set up timeously on arrival.
  • Please note that the table the DJ is to operate off of, should be near the dance floor so that the DJ can better interact with the crowd.
  • Your Wedding Program & music selection will need to be sent to us 14 (fourteen) days in advance. We cannot guarantee nor accept any last-minute changes within the week (7 Days) of your event. All changes need to be sent to us via email only in order for these changes to be actioned and noted.
  • A meal, as served to guests and soft drinks & water is to be provided for the DJ and an Assistant. This is not negotiable. It is a good idea to have all service providers (DJ/musician, photographer, videographer) seated at a services providers table to ensure all the providers are on the “same page” at all times.
  • Please contact me closer to the time once your arrangements have been finalized to discuss these details. However, if there are any problems, please feel free to contact the entertainer direct or myself.
9. Photobooth & SPIN360
  • In the unlikely event that our printer experiences technical difficulties, prints will be made within 72 working hours from your event date.
  • We require an area of approximately 3m x 3m in order to setup our booth. A power point is required for us to connect our booth & printer etc. Please arrange this with your venue.
  • Your photobooth booking will only be considered confirmed once a deposit has been paid and has cleared in our account. The balance is due 7 working days prior to your booking date.
  • Idle hour fees are applicable and will be added to the final invoice should you wish for us to setup prior to the hours you have selected in any of our packages.
  • We reserve the right to charge a separate travel fee for Photobooth or SPIN360 Services.
  • Should a member attending the event or anyone, directly or indirectly, associated with the event, damage with or without intent, the Retrobooth, Printer or Props, the client will be liable for the cost of these repairs or replacement.
10. Abuse
  • Should any member attending the event abuse the DJ in any way, be it physical, verbal and/or other, he/she reserves the right to and may decide to immediately cease the rendering of services. This is for the safety of all concerned.
  • All guests approaching the DJ must conduct themselves in a respectful and civil manner. While song requests are welcomed, they are not guaranteed to be played and will be accommodated at the DJ’s discretion based on time, suitability, and event flow. Any form of verbal abuse, aggressive behavior, harassment, or intoxicated misconduct directed at the DJ or event staff will not be tolerated. In the event of such behavior, the DJ reserves the right to cease the provision of services immediately, without refund, and vacate the premises for the safety and well-being of all parties involved.
  • For the safety of all guests and service providers, we maintain a strict no-weapons policy. Should any firearms or weapons be visibly displayed or brought onto the premises, we reserve the right to immediately cease all services without refund or liability.
  • Should any of the DJ’s equipment be in danger at any point for whatever reason, the DJ again reserves the right to and may decide to cease or alter the rendering of services. This is due to the fact that the client is responsible for all equipment on site. The entertainer is to offer his/her professional opinion hereon.
  • The DJ will not accept any Song request-related abuse. Guests will be asked to leave the DJ booth/area.
  • Should the abuse clause be required, any unused hours will be forfeited.

Please note that this is only a last resort, as the entertainer will be required to explore all other available avenues before a decision is made to implement the clause. We are concerned about you, the client, just as much as our staff.

11. Mishaps and “acts of God”
  • Our equipment is maintained to our stringent standards. As with any electronic equipment, occasionally problems occur. Should a problem occur with the equipment, the best attempt will be made by the entertainer to replace or make do with this or other equipment. Should all attempts fail, we cannot be held liable for the failure of the event and any unused hours will be forfeited.
  • Please Note that power failures or scheduled Load Shedding procedures do not entitle the client to claim non-rendering of services. The DJ is not responsible for electrical failures or load shedding at the respective Venue.
  • The Venue is responsible for ensuring the supply of an alternate power solution (eg: Generator / Inverter). If a generator supplied does not meet our requirements, we reserve the right to cease rendering of services.
12. Copyright of video & images
  • KZN Wedding DJ reserves the right to take footage (still photographs and/or video footage) of any event that we are involved in, be it directly or indirectly, and reserves the right to use such material for marketing purposes.
  • KZN Wedding DJ reserves the right to post images on social media unless otherwise agreed to, prior to your event.
  • We reserve the right to take Photos / Videos of but not limited to, the venue, décor and guests unless otherwise agreed to, prior to your event.
